Documents Needed for a Government Job Application: A Complete Checklist

Government job advertisements usually end with a list of documents to attach. Candidates who prepare these in advance can apply in a single day, while others waste days running to offices. Use this checklist to prepare your file before the next advertisement appears.
Identity documents
- CNIC: clear copy of both sides. Check the expiry date and that the name matches your certificates.
- Passport-size photographs: recent, with a plain background, in the size the advertisement requests. Keep a soft copy too.
- Domicile certificate: from your district administration. The form usually also needs a PRC (Permanent Residence Certificate) for provincial jobs.
Educational documents
- Matric (SSC) certificate and DMC.
- Intermediate (HSSC) certificate and DMC.
- Bachelor's, Master's or professional degree and transcripts.
- For some posts: equivalence certificates (IBCC for boards, HEC for foreign degrees), registration certificate (PMC, PEC, Bar Council, PNC, as relevant).
Experience and service documents
- Experience certificate on the organisation's letterhead with dates and post.
- Salary slip or appointment order, if the advertisement requires proof.
- NOC (No Objection Certificate) from the present employer, for candidates already in government service.
Special documents (when relevant)
- Quota proofs: minority, disabled person (disability certificate), women or others.
- Age relaxation proof, such as service record or the certificate of the quota category.
- Character certificate, health certificate and affidavits as asked.
- Computer or typing certificates for clerical and computer posts.
Attestation
"Attested" copies usually mean copies signed and stamped by a gazetted officer (BPS-17 or above) with their name, post and stamp. Read each advertisement: some now ask only for self-attested or scanned copies. Do not attest without checking that the original is in your hand.
How to arrange your file
- Make a cover sheet listing each document and the page number.
- Arrange in the same order as the advertisement.
- Keep one extra set of photocopies and one complete set of scans in a folder named by the date.
- Bring the originals for verification on the test day.
Tips to save time
- Apply for a domicile and PRC early; they take time.
- Keep two passport photographs in every document envelope.
- Keep a note of the roll numbers and registration numbers of all your exams.
- Check that the name spelling is the same on every document; correct any difference at the issuing office before the advertisement comes.
